4	Officers Report Chairman · Dave Moulder from SWRR asked for the Clubs Support to be put forward as a Candidate for the EA Board as a non-executive director. MM spoke to a few Committee Members and we agreed to back him. · Tessa Mackenzie Green, MM spoke to Tessa & we are to put on the Nine Springs Race as usual & continue with our Club Runs. Will deal with the cows for the Race. · Cheque presentation, thank you to the people who turned up for the photo & cheque presentation today. Western Gazette didn’t make it but PJ & MM have put together a press release & photos. Secretary · Backing up the Running Club Data on the cloud. GW has set up free Google Accounts with 15GB Data & each Committee Member will have a drive to save their information. Security - only the Owner can change the information in the Drive. Chairman & Secretary to have access to all. Owner can either add direct, email to GW or put on Memory stick and give to GW. Treasurer · Payment to be made to Yeovil Olympiads for hire of the Club House. · Payment to the Football Club to be made at the AGM. · Argentan came in under budget. Overpayment to be calculated and returned to Club Members who attended. · Unauthorised payments out of the Bank Account have been investigated with the help of MelD. Membership Secretary · Query with Membership Form and the website as reported as saying £35 on the website – GW to look into. · 2 people have renewed but didn’t pay the full amount for this year. At AGM will make clear that renewal is for a full year. If new members join now, they will receive 13 months Membership as the year runs from 1^st March. Webmaster and kit master · Any errors let Guy know · Fleeces – now in stock · Total Buzz – Easter Bunny number of entrants & names required to update website. 5km entries email address. Ladies Captain None Men’s Captain · NDVM – YTRRC have a number of teams Cross Country Captain · Cross Country now finished for 2013. · No one from the Club is taking part in the Nationals. · BMR took part in the Inter Counties in December & won his age category. · Wessex League at Ham Hill, the numbers were down, clashed with a few other races including Brent Knoll. SCAA – BMR · Last meeting held on 23^rd January 2014, attended by BMR & DS. · Letter received from MCAA asking for support with regards to the funding no longer received from EA. 5	Club Diary PM completed TB’s 666 Run to be added to the Club Diary
6	Races: Santa Dash 15^th December – Post Race MM &KH KJ will be standing down as Race Director; Thanks go to KH for all her hard work. £1250 raised from Nine Springs Nine race in 2013 & £5500 from the Santa Race. Over the 4 years of running the Santa Race £11,000 has been raised for the Hospice. Need to include at the AGM how much has been given to Charity by the Club over the year. We also need to cover the costs incurred to the Club and advances in chip timing etc. Minutes received back from Brooke: · 1 Move the start & finish funnel in Goldenstones to reduce obstructions/confusion. · Have a prize giving time of 11.45 am · Run the race entirely from Goldenstones in the future, more toilets required. Possibility of using camper vans and making use of gazebos. Great Western 9^th March 2014 Pre Race LN & MD LN emailed Russ regarding the start time of the Fun Run being 10.30am. Adam Hawkins has agreed to organise the Children’s Fun Run. Refreshments - we take our own for Club Members Marshalling/helping. Ask for volunteers to do refreshments for runners & spectators? Finish Line – PM & DN. 9 Entries so far. Sweeper to remove signage from course, not too many marshals required from club, encourage entries from Club Members Summer 5k Series – Pre Race DaveS & JD DS to see Full on Sport regarding entries etc. DaveS & JD to get together. Race email address ytrrc5racedirector@gmail.com 3 Entries received on line so far. Push for online entries. Sponsorship approved from Royal Canin through TB - await cheque and then decide what to do with the Sponsorship money. 5km Series flyer, make chip timing bigger & in Red, ensure that entering each race separately is obvious. Easter Bunny 10k 21^st April – Pre Race NB DS still chasing for Licence to be issued by EA Ash Town Tree Trail, 30^th April – Pre Race, AH None Nine Springs Nine, 8^th June – Pre Race, KH Race all ok 1 postal entry received. MM to speak to Aldon regarding race and KJ to hold sending letter. Ash Excellent Eight, 31^st August – Pre Race, AH None King Alfreds Torment - Replacement Race, PM Before September - Battle of Babylon Hill, Royalists v Parliamentarians at the Cricket Club, Compton House (former Butterfly Farm), have a choice of routes requiring fewer than 15 marshals, distance can be decided depending on route. Car Parking ok. Run as a Club Trial/Admin Race as Gillingham Trotters did for the NDVM & run as an invite run only. Cross Country query new venue, MM Possible alternative venue from Stanchester School/Ham Hill. SE Schools was recently held at Aldon – well put together & looked like a good course/venue. Parking ok, Toilets required – cost to be looked int. MM & TH meeting with Aldon in May to discuss and if acceptable the Race Date will be after the Horse Trials in October. Santa Race, 14^th December 2014 – Pre Race, MM New Race Director is required. General for all Races · Race Numbers – PM to check · Runners World – Race Directors to add their own races to the website or Athletics weekly. Easter Bunny & 5k Series on the Full on sport website. KJ to add Nine Springs Nine, Adam Hawkins to add the Ash Town Tree Trail & Ash Eight Races. · Placards to ensure all runners in our Races in 2014 are aware they will be disqualified for using MP3 players etc. and at the pre-race brief to reiterate. · DS to email YTRRC invites as per the information & emails from AA. 7	Any other business Dates for March & April Committee Meetings & AGM – MM MM unavailable for March & Aprils Meetings, PM has volunteered to take the Chair. Provisional AGM dates of 6^th or 13^th May 2014 at the football Club, PM to check availability & book. Sausage & chips or Vegetarian option for food. Race Directors, Role of a Race Director What a Race Director (RD) generally does. If we can get 3/4 experienced RD’s to have a meeting and put together what jobs/roles they do. Put together a flyer for people to pick up and if they are interested get them to shadow a RD and attend a course if they require. KH agreed; need to see if NB & a couple more are interested. New Run Leader Meeting – MD Run Leaders Handbook, MD redoing during Half Term. MD does have a list of approximately 18 but not everyone is on the list as they did not return the slip on the back page. If anyone interested MD will hand out a Run Leaders Booklet and if they want to go ahead he will put them with a Run Leader to shadow. All Run Leaders are covered under ARC Insurance. Road Traffic Management Course - Devon- Saturday 29th March 2014 Course available and prudent for a Member to attend the course to ensure we do not have the same situation as the Ilminster 10k had in November. PJ agreed to attend. PM proposed the Club pay for any expenses incurred and agreed by the committee. Missing Trophies – PM & PJ Need to get all the Trophies back, see what we have missing, analyse what we have & what we need. UK 10K Road Championships 2014, Sunday 25^th May 2014 Club has 6 men’s & 6 women’s free of charge places, first 3 runners to count. Emailed to LN & MD. TH suggested aiming towards specific Ages for the races. Wells will be taking teams, possibility of sharing transport? Closing Date online 5pm 9^th May, LN & MD to email information if we have Teams to DS before this date. New Forest Run 666 on Sunday 6^th April – TB TB planning a run in the New Forest on Sunday 6^th April. This will be run 666, with a 6 mile course, which can be done 1, 2 or 3 times. TB intends to have cakes at refreshments at his home afterwards. Course under water at present but he hopes to recce it soon. Good training or just good fun! All off road, starting at Holmsley. TB to put on blog, PM to add to the Club Diary and inform Club Members on a Tuesday night. Trail Running Camp- Pappa Ferret Information received, DS will add to the Shared Groups in Cloud being set up by GW. Sport Relief Mile, (10.45am, 23 March) – PJ 1, 3 or 6 mile options available, taking place at the Yeovil Recreation Ground (Mudford Rec). Asked to support with posts & tape, to promote & ask for volunteers. Add to blog and interested parties to contact them direct. PJ to reply. Facebook – JD Dave Richardson was contacted and resolved. NDVM - KH Kat is taking part in the NDVM for charity and is looking for support from the Club. Club agreed to sponsor her £25, sponsorship is available to any Club Member.

Can you please add to the list the fact that I will be laying a hash on Good Friday, 18th April at Montacute House - 11am start, usual beer stop and extra hot cross bun stop planned!

I will be out at Leweston for Great Western on Sunday - if I can, I will try and arrive at 7am to have a run round the course first but if anyone wants to join me, suggest that they call me on 07929 054576 first to make sure I've made it out the door!

Somehow managed a PB (44.58) today on this mornings Combe st Nicholas 10K road race! Considering the undulating/hilly course & wind/rain I'm chuffed to bits.also well done to the other YTRRC runners who took part.also a thank you goes to Linda Membury and her hubby for the lift down,cheers
